We’re so excited to be a part of your special day at the beautiful Bella Vista Farms!
Now that you’ve secured your date at BVF, the next step involves us. Whether you’ve booked our full-service package or just the basics through BVF, we’re here to support you throughout the planning process and help bring your vision to life.


We’ve been working closely with BVF since the very beginning, and with our deep familiarity with the venue—from knowing where the light hits just right, to the best access points, and what works best in the space—BVF has placed their trust in us to help you make the most of it. Our shared goal is to ensure every detail is thoughtfully planned and flawlessly executed so that you can truly enjoy everything this stunning venue has to offer. That’s what we’re here for—to guide, support, and collaborate with you every step of the way.


Below, you’ll find the packages we offer in partnership with Bella Vista Farms. If you haven’t already selected your services, you’ll book them directly through the BVF team. If anything catches your eye, simply let a BVF team member know you’d like to add it to your event.After confirming your selections, just head back to this page and use the link at the bottom of this page to get in touch with us. 


Once you fill out the questionnaire , we’ll reach out to schedule a phone call or in-person meeting to walk through all the details and discuss how we can elevate your event.


Please note: Any additional rentals or floral add-ons will be invoiced separately from Bella Vista Farms.

Event Coordinator Package

Includes the following services:

  • Initial consultation & vision planning
  • Vendor recommendations
  • Timeline creation
  • Design and décor assistance
  • Mood-board of your decor vision
  • Month-of Coordination
  • Final walk-through at venue
  • Vendor confirmations
  • Timeline and floor plan finalization
  • Rehearsal
  • Full-day onsite coordination
  • Vendor management & setup supervision
  • Ceremony & reception management
  • Staff for light personal decor set up


The process:

  • Initial Consultation: Review services, discuss your event theme and color palette, and begin planning your overall design. You'll also gain access to our curated list of preferred vendors or we’ll begin assembling your vendor team.
  • Design Meeting (Optional): A second meeting may be scheduled to create a mock-up table setting. This can also be covered during the initial consultation if time allows.
    Final Planning Meeting: Together, we'll finalize the custom floor plan, build a detailed day-of timeline, and confirm all logistics. We will also reach out to your vendors to coordinate and align everyone with the final schedule.
  • Ceremony Rehearsal: Includes one hour of rehearsal coordination to ensure your wedding party is confident and prepared.
  • Day-Of Coordination: Up to 10 hours of on-site coordination to manage every detail. Oversee vendor arrivals and proper setup at designated locations. Ensure all elements follow the timeline for a smooth, stress-free day.


Set up, Breakdown, and Bussing: 

  • Party On will arrange the chairs and tables provided by Bella Vista Farms according to the agreed-upon layout.
  • All rentals supplied by Party On will also be set up as planned.
  • Handle the transition of chairs from the ceremony to the reception area.
  • Staff will buss tables throughout the event, manage dinnerware, and manage  trash to ensure a tidy venue.
  • End of the night, our team will fully break down the tables and chairs, thoroughly clean the venue, and ensure compliance with Bella Vista Farms’ breakdown policies.


Staff Timeline

  • 9AM- 12PM : 2-4 staff for set up  (includes , tables ,chairs, linens, etc.)
  • 12PM-8PM: Lead coordinator
  • 2PM- 10:00PM : Assistant coordinator
  • 4:30-Finish: 2-4 staff to assist during the event, buss tables and breakdown at the end of the night.


This coordinating package will also include the following rentals:


  • Guest tablecloths (up to 20. Rectangular, round, white, ivory, or black)
  • 2 Black Buffet tablecloths
  • 2 tablecloths for welcome & gifts
  • Dinner plates (white, clear, or black)
  • Water Goblets
    Fork & Knife ( Silver)



Extended Rental and Floral Package

Includes the following services:

Upgrade your package and let Party On Events turn your celebration into an all-inclusive experience! With this upgrade, you’ll enjoy additional rentals, full access to our complete dinnerware collection, and a beautiful starter floral package to elevate your event.


Rentals Included:

  • Guest tablecloths (up to 20. Rectangular,round, white,ivory, or black)
  • 2 Black Buffet tablecloths
  • 2 Farm tables for welcome & gifts
  • Pedestal for Cake
  • Sweetheart table and chairs ( Choose any style from our inventory)
  • Dinner plates ( Choose any style from our
  • inventory)
  • Water Goblets
  • Fork & Knife ( Gold, Black, or Silver)
  • Napkins ( See our inventory for available colors)
  • Votives with tea lights (Glass, gold, silver, terracotta, or pink)

Floral included:


  • Sweetheart table Florals ( 1 small arrangement on table, 1 large on floor )
  • Arch & Florals ( 2 arrangements, approximately 2ft each)
  • Florals for Welcome table (4 bud vases )
  • Florals for cake table, ( 1 arrangement, approximately 1ft)
  • 6 compote centerpieces ( Gold, Black, white)
  • 40 bud vases with fresh flowers. ( clear glass or

amber glass vases)


Florals will be a mix of greenery, in season flowers, roses, & fillers.

Elaborate and custom florals styles available for an additional fee.These packages have been thoughtfully designed based on our experience in the event industry. While some essential items—such as bridesmaids' bouquets,  boutonnieres, corsages, etc.—may be missing, this is because each event has a

unique number of bridal party members. These packages serve as a starting point, allowing you to upgrade the floral count or style to better suit your needs.



Basic Package

Please Note: This package is no longer available for new bookings. However, if you secured it under a previous contract, rest assured—we’ll continue to provide you with the highest level of service and support throughout your planning process.

  • Assistance in the planning of your event layout
  • Setup & breakdown of chairs & tables
  • Guest tablecloths (up to 20. Rectangular,round, white,ivory,or black)
  • 2 black buffet tablecloths
  • 2 welcome/gift table tablecloths (white,ivory,black)
  • White Dinner plates
  • Water goblets
  • Silver flatware
  • Clear votives with tealights
  • Set up & Breakdown of all items provided by Party On
  • Table bussing at the end of the night.


All of the above will be ready and set up upon your contract time. At the end of the night you will only be required to remove personal items or items from other vendors. Party On Events will take care of bussing and breakdown at the end of the night.
